What is invoice audit software?
Invoice audit software checks the pricing and terms on an invoice against what you actually agreed — a contract, rate card, or price list — instead of just capturing the numbers on the page. InvoRec is invoice audit software built on AI invoice data extraction: it reads every invoice line, compares it to your reference document, and flags anything that doesn't match, with the expected amount, the variance, and a confidence score for each flagged line.
What's a reference document?
It's whatever you agreed your vendor's prices and terms against — a signed contract, a rate card, a pricing schedule, or a statement of work. You upload it once, and InvoRec holds every future invoice from that vendor to the rates, caps, and terms it contains. You can also skip the upload and enter the agreed pricing manually instead.
What kinds of discrepancies does it catch?
Three flagged types: rate mismatch (the billed rate differs from the agreed rate — this is what catches an overcharge), cap exceeded (a percentage-based limit, like a fuel surcharge capped at a share of the subtotal, billed above that share), and unexpected fee (a charge with no matching term in your reference). Each flagged line shows the invoice line, the expected vs billed amounts, the variance, and a confidence score.
How does invoice audit software detect overcharges?
InvoRec extracts every invoice line into structured data — vendor, quantity, unit price, line total — then matches each line to the corresponding term in your reference document and compares the numbers. A mismatch surfaces as one of three flag types (rate mismatch, cap exceeded, or unexpected fee — rate mismatch is what catches most overcharges), each shown with the billed amount, the expected amount, the variance, and a confidence score, so you can see exactly why a line was flagged rather than just that it was.
Where is my data stored?
On EU-based servers, with industry-standard encryption in transit and at rest. Your original uploaded files — invoices and reference documents — are deleted from storage immediately after extraction; we keep only the structured data we extract, never the original files. Your invoices and contracts are processed to run the audit, but never used to train AI models.
How do credits work?
One credit extracts one invoice page. Running an audit on the extracted data costs 2 credits. A reference document costs 1 credit per page to analyze, or nothing if you enter pricing manually — and once set up, it's reused across every invoice you audit against it. Top-up credits never expire; subscription credits reset each cycle.
What does an audit cost, and is it worth it?
An audit costs 2 credits — roughly the same as extracting two invoice pages. For that, InvoRec checks every line of an invoice against your reference document and tells you exactly what doesn't match: the line, the expected amount, what you were billed, the variance, and how confident it is. A single caught overcharge is usually worth far more than the credits the audit costs. And because your reference document is reused, every invoice after the first is just its pages plus 2 credits to audit.
How accurate is AI invoice audit software compared to manual invoice checks?
Manual invoice checks are usually limited to spot-checking totals, because comparing every line of every invoice against a contract by hand doesn't scale. InvoRec checks every line, every time, and attaches a confidence score to each flagged discrepancy so you know how sure it is — and every flag can still be confirmed or marked as a false positive by a person before you act on it. In practice this catches line-level overcharges that header-level manual review misses entirely.
Does it work across multiple vendors, currencies, and languages?
Yes for vendors and languages — each reference document is tied to a specific vendor and stays on file, so auditing any future invoice from them against it is one click, no re-uploading, and you can build up a library across your whole vendor list. InvoRec also reads invoices in any language. It works in any currency too, but the invoice and its reference document must be in the same one — comparing a EUR invoice against a USD reference would produce a meaningless variance, so InvoRec blocks that audit rather than run it.
